IT Administrator
with strong
data management skills
to join our team. This role requires expertise in
procurement ,
inventory management , and
administrative support , as well as the ability to manage and analyze data effectively. Familiarity with
Microsoft Excel
will be a strong advantage, as this role involves working with large datasets and generating insights to support IT operations. Key Responsibilities: Procurement Management:
Handle the full procurement process, including sourcing, evaluating, and purchasing IT hardware, software, and services. Prepare, issue, and evaluate
contracts, tenders, and quotations , ensuring compliance with organizational policies and budgetary requirements. Utilize the
electronic purchase system
to process and track procurement activities efficiently. Build and maintain relationships with vendors to negotiate favorable terms and ensure timely delivery.
Stock Control and Asset Management:
Maintain and update IT inventory, including hardware, software, and consumables. Perform regular audits of stock to ensure accuracy and availability of critical equipment. Coordinate stock replenishment to avoid shortages and ensure operational continuity.
Data Management and Analysis:
Manage and organize IT-related data, including procurement records, inventory logs, and helpdesk performance data. Use
Microsoft Excel
and other tools to analyze data, generate reports, and identify trends. Provide actionable insights to improve procurement efficiency, optimize stock levels, and enhance IT operations.
Guideline and Documentation Preparation:
Develop and maintain procurement guidelines and workflows to improve operational efficiency. Document IT processes, including procurement procedures, asset management, and helpdesk ticket handling. Provide clear and structured guidelines to team members and stakeholders.
Helpdesk Hotline and Ticket Dispatching:
Serve as the first point of contact for IT-related inquiries via the helpdesk hotline. Log and categorize incoming IT support tickets in the ticketing system. Dispatch tickets to appropriate IT team members and monitor progress to ensure timely resolution. Communicate updates to end-users and provide basic IT support when needed.
General IT Operational Support:
Assist with onboarding and offboarding processes, including hardware provisioning and account setup. Collaborate with IT team members to ensure smooth coordination of departmental tasks and initiatives.
Requirements: Proven experience in IT administration, procurement, or a similar role. Strong knowledge of procurement processes, including managing contracts, tenders, and quotations. Familiarity with electronic purchase systems and inventory management tools. Excellent data management skills, with the ability to organize, analyze, and interpret complex datasets. Proficiency in Microsoft Excel or other data analytic tools, including functions, pivot tables, and data visualization tools. Experience in stock control, asset management, and inventory audits. Strong organizational skills and attention to detail. Effective communication skills, both written and verbal, to liaise with vendors and internal teams. Basic IT troubleshooting knowledge and familiarity with IT infrastructure are a plus. Ability to multitask, prioritize, and work in a fast-paced environment.
