We are working with a leading trust company hiring an operations officer for their team in Hong Kong. You will be responsible for the day to day management of the business processes and operational matters, working closely with the trust services team, senior management, and other internal stakeholders. Process Optimization: Assess Current Workflows: Partner with the operations manager to thoroughly evaluate existing workflows and business procedures, pinpointing inefficiencies and areas for enhancement. Stakeholder Collaboration: Collaborate with various stakeholders, including the trust services team, senior leadership, IT, and solutions teams, to understand their needs and address any concerns regarding current processes and proposed changes. Document Requirements: Collect and meticulously document business requirements from stakeholders to ensure clarity and alignment with organizational objectives. Propose Enhancements: Develop and present well-researched proposals for process enhancements and re-engineering initiatives to boost efficiency and effectiveness. Facilitate Implementation: Assist with the implementation of process changes, ensuring minimal disruption to ongoing operations and facilitating a smooth transition. Reporting and Data Analysis: Data Analysis: Generate detailed reports from entity and client management systems, ensuring data accuracy and identifying trends and areas for improvement. Performance Monitoring: Track and monitor filing deadlines, deficiencies, debtors, billing, and profitability to ensure timely and accurate performance. Management Reporting: Create weekly reports for senior management, highlighting key performance indicators, insights, and providing updates on operational and new business activities. Project Management: Support Project Planning: Assist in planning and executing local, regional, and Group projects, ensuring alignment with business goals and objectives. Manage Timelines: Monitor key project milestones and deliverables to ensure timely achievement of project objectives and goals. Policy and Procedures: Maintain Documentation: Update and maintain policies, procedures, training manuals, and guidance notes to ensure they are current and effective. Ensure Compliance: Conduct regular audits to ensure compliance with internal policies and procedures, identifying and addressing any areas of non-compliance. Desired Skills and Experience: Recognised university degree 2-3 years of experience in operations or project management Strong problem-solving and analytical skills Proficiency in collaborating with technical solutions and IT teams Attention to detail and experience in writing policies and procedures Ability to work independently and take initiative Excellent written and verbal communication skills in English Seniority level
